1. Privacy Policy

Manage 365 LLC (“Manage 365,” “we,” “our,” or “us”) respects your privacy. This Privacy Policy explains how we collect, use, and protect information when you use the Manage 365 desktop application and related services (“App”).

Information We Collect
Personal Information: When you create an account, we collect your email address and the address of the registered building.
Manage 365 does not sell, share, or provide any identifiable user data to third parties.
We never track the location of the user.


Authentication Data: OAuth tokens to allow access to Google Drive or OneDrive. Tokens are encrypted with AES-256-GCM and stored securely within the local app. Access tokens are short-lived (≈1 hour). Refresh tokens, when present, may extend access but are also stored encrypted and can be revoked at any time. OAuth tokens are never stored on Manage 365 servers.

User Files and App Data:
All user files and data that is inputed by the user into the application is retained only on the local machine. Manage 365 LLC never stores any of the information inputted into the application on company servers.

Google Drive and OneDrive Access: By connecting your Google Drive or Microsoft OneDrive account, you explicitly authorize Manage 365 to access, view, and read the contents of files stored in your cloud account solely for the purpose of displaying, organizing, and enabling functionality within the App. Manage 365 does not store, copy, upload, or transmit the contents of these files to Manage 365 servers. You may revoke this access at any time in your Google/Microsoft security settings or within the App.

Device Information: We generate an encrypted, anonymized device identifier used solely to prevent abuse, fraud, or automated misuse of the App. This identifier cannot be linked back to the user.

Usage Data: We record aggregated and anonymized statistics for clicking the links or saving the information of a company. These aggregates are shared with the relevant party, but are not tied to the user.

How We Use Information
To provide app functionality.
To manage user authentication and maintain secure access to the App.
To prevent fraud and abuse (via anonymized device identifiers).
Manage 365 provides city-specific compliance information, including local laws, links to relevant services, and contact details for companies and contractors. Companies may pay to be listed in the app, but this does not affect how user information is handled. 
To communicate with you only about essential matters related to the App, such as account issues, billing, security, or significant functional changes. We do not send marketing or promotional emails.

Data Sharing
We do not share or sell personal data.
We never track the location of the user.
Aggregated and anonymized app metrics may be shared with third party companies.
Building location data provided on signup may be used to connect users to relevant companies that operate in the building’s area.

Data Retention
Account data (email and building location) is deleted within 3 months of account deactivation, or sooner upon request.
OAuth tokens are deleted immediately upon app deletion and can also be manually revoked by the user at any time in the app.
Encrypted device identifiers used for fraud prevention are anonymized and cannot be tied back to users; these may be retained until no longer necessary.

User Controls & Revocation
Users may request deletion of their personal data at any time by contacting us.
Users may revoke Manage 365’s access to their Google or Microsoft files at any time through their account’s security settings in browser or by manually revoking in the app.

Your Rights
Depending on jurisdiction (GDPR/CCPA and similar):
Access, correction, or deletion of any personal data.
Contact [email protected] to request data deletion.
We process personal data on the basis of providing the App and its functionality, including account authentication and essential communications. We do not use your personal data for promotional communications.

Children’s Privacy
Manage 365 is not directed to children under the age of 13 (or 16 where applicable).
Manage 365 does not knowingly collect personal data from children.

Security & Malware Disclaimer
Manage 365 uses encryption and industry standard security practices to protect data transmitted between the App and our services.
Manage 365 does not scan files for viruses or malware. You are responsible for ensuring the safety of files accessed or downloaded from Google Drive or OneDrive.
Manage 365 is not responsible for unauthorized access, hacking, or malicious code injected by third parties.

Changes to This Policy
We may update this Privacy Policy to reflect changes in the App or legal requirements. If updates materially change how we handle your personal data, we will notify you in the App or by email. Continued use of the App after the updated Policy becomes effective constitutes acceptance of the changes.

2. Terms of Service / End User License Agreement (EULA)

License Grant
You are granted a limited, non-transferable, revocable license to use the App for personal or business purposes.
Acceptable Use
You agree not to:
Use the App illegally.
Reverse-engineer or resell it.

Third-Party Services
Manage 365 integrates with Google Drive and OneDrive for file access. File contents are never stored on our servers.
We do not scan or filter files for malware. You are solely responsible for files you open.
Manage 365 is not liable for data loss, corruption, or viruses originating from third-party services.
You may revoke access to Google/Microsoft anytime in account settings.

Contractors/Companies
Contractors are independent third parties, not Manage 365 employees.
Verification is performed including interviews and online research however, no guarantees are made.
All contracts, payments, and disputes are solely between you and the contractors and companies.
Manage 365 disclaims any liability for contractor or company fraud, negligence, poor work, or damages.

Compliance Disclaimer
Manage 365 is a tool, not legal or compliance advice.
You are solely responsible for meeting laws (including NYC Local Law).
Manage 365 provides organizational tools and general information, but it does not provide legal, engineering, architectural, compliance, safety, or professional advice of any kind. All compliance information, building requirements, and contractor details are provided for convenience only and may be incomplete or outdated. You are solely responsible for verifying all legal, regulatory, and safety obligations applicable to your building or operations and for consulting qualified professionals where necessary.

Disclaimers of Warranty
The App is provided “as is”, without warranties of any kind.
Manage 365 disclaims all implied warranties (merchantability, fitness for purpose, non-infringement).

Limitation of Liability
Manage 365 is not liable for indirect, incidental, or consequential damages.
To the maximum extent permitted by law, Manage 365 LLC’s total liability for any claim arising from the use of the App shall not exceed $100 USD.
You agree to defend, indemnify, and hold harmless Manage 365 LLC, its officers, and affiliates from claims arising from your use, your violation of Terms, or your dealings with contractors/companies. This includes but is not limited to claims related to unauthorized use of third-party services, data breaches originating from your account, or distribution of malicious content through your use of the app.

Arbitration & Class Action Waiver
All disputes resolved by binding arbitration (AAA rules) in Delaware, USA.
You waive rights to class actions; disputes must be filed individually.

Force Majeure
We are not liable for delays or failures caused by events outside our control (natural disasters, outages, cyberattacks, government action).

Changes to the App and These Terms
We may update, modify, or change the App, including adding or removing features, at any time. We may also update these Terms of Service from time to time. If a change materially affects your rights, we will notify you by email or by displaying a notice in the App. Your continued use of the App after the effective date of the updated Terms constitutes acceptance of the changes. If you do not agree to the updated Terms, you must stop using the App and cancel your subscription.

Governing Law
These Terms are governed by Delaware law.

No Data Guarantee: We do not warrant availability or safety of files from third-party services.
No Malware Protection: Files are not scanned; you assume all risk from Drive/OneDrive.
Contractors/Companies: Independent third parties. Manage 365 disclaims liability for their services.
Companies or contractors may pay Manage 365 for placement or visibility within the App. Such payments do not constitute endorsement, recommendation, or guarantee of services.
Liability Cap: Damages capped at $100.
